Official Contest Rules, Terms & Conditions
1. SPONSOR
This contest is sponsored by PHN LLC, doing business as Academy of Self Defense, located at 3475 Woodward Avenue, Santa Clara, California 95054 (“ASD,” “Sponsor”). By participating in this contest you agree to be bound by these Official Rules and the decisions of the Sponsor, which are final and binding in all matters related to this contest.
2. ELIGIBILITY
The Locked In for Summer Fitness Challenge (“Challenge”) is open to all individuals 18 years of age or older at the time of registration. Participants under the age of 18 must have written parental or legal guardian consent prior to registration. Current and former employees, contractors, and instructors of Academy of Self Defense who held any role within the past 134 months, and immediate family members of any of the above, are not eligible to win prizes but may participate for personal fitness purposes.
Participation constitutes entrant’s full and unconditional agreement to and acceptance of these Official Rules. Void where prohibited by law.
3. CHALLENGE PERIOD
The Challenge begins on April 20, 2026 at 12:00 AM Pacific Time and ends on May 31, 2026 at 11:59 PM Pacific Time (“Challenge Period”). Submissions made outside of the Challenge Period will not be accepted or counted toward final point totals.
4. HOW TO ENTER
Eligible participants must register for the Challenge prior to April 20, 2026 by completing the registration process at AcademySelfDefense.com/challenge and paying the applicable registration fee. Registration fees are as follows:
- ASD Members: $29.00
- Non-Members: $49.00
Membership Rate Eligibility, Important:
The $29.00 Member rate applies exclusively to participants who hold an active ASD membership with a current monthly billing cycle in good standing at the time of registration. This means you are actively paying for your membership on a recurring monthly basis.
The following do not qualify for the $29.00 Member rate and must register at the $49.00 Non-Member rate:
- Complimentary memberships awarded as contest prizes
- Memberships received as gift certificates
- Any membership that is not on an active paid monthly billing cycle at the time of registration
- Free trial memberships
If you are unsure whether your membership qualifies for the Member rate please contact us at the front desk or at (408) 844-8485 before registering. Registrations submitted at the incorrect rate will be adjusted to the correct rate prior to processing. ASD reserves the right to verify membership status at the time of registration and to reclassify any registration that does not meet the criteria for the Member rate.
Registration fees are non-refundable. Incomplete registrations will not be accepted. One registration per person. Multiple registrations from the same individual will be disqualified.
5. POINT SYSTEM & SUBMISSIONS
5.1 General Points are earned by completing action items within the TrainWithMe app during the Challenge Period. Each completed action item earns one point regardless of difficulty or tier level. Points accumulate throughout the six-week Challenge Period and are tallied at the close of the Challenge on May 31, 2026.
5.2 Self-Reported Actions
Certain action items are self-reported on the honor system. By submitting a self-reported action item the participant certifies that the activity described was completed honestly, accurately, and in full compliance with the stated requirements of that action item. False or misleading self-reported submissions constitute a violation of these rules.
5.3 Proof-Required Actions
Certain action items require submission of supporting proof including but not limited to photographs, videos, time lapse recordings, screenshots, or written descriptions as specified in each individual action item. Submissions that do not meet the stated proof requirements for that action item will not be accepted for credit.
5.4 Good Faith Standard
All submissions, whether self-reported or proof-required, are subject to review by ASD coaching staff, administration, and management. ASD reserves the sole and absolute right to disqualify any submission that in the judgment of ASD staff does not reflect honest, good faith participation in the spirit of the Challenge. This includes but is not limited to submissions that appear fabricated, manipulated, recycled from prior submissions, duplicated across multiple action items, or otherwise inconsistent with the stated requirements or intent of the action item. The determination of whether a submission meets the good faith standard is made at the sole discretion of ASD staff and is final and non-appealable.
5.5 Submission Limits
Each action item specifies a maximum number of submissions permitted per week. Submissions exceeding the stated weekly maximum will not be counted. Participants are responsible for tracking their own submission limits. ASD is not responsible for submissions that exceed weekly maximums or that are submitted outside the Challenge Period.
5.6 Technical Issues
ASD is not responsible for lost, late, incomplete, corrupted, or misdirected submissions due to technical failures of the TrainWithMe platform or any other technical issue beyond ASD’s reasonable control. In the event of a technical failure affecting point tracking, ASD reserves the right to make reasonable adjustments at its sole discretion.
6. WINNER DETERMINATION
At the close of the Challenge Period on May 31, 2026 the participant with the highest total verified point count will be declared the First Place winner. Second Place and Third Place winners will be determined by the second and third highest total verified point counts respectively.
In the event of a tie in total point count between two or more participants the tied participants will be ranked by the total number of proof-required action item submissions completed during the Challenge Period. If a tie remains after this secondary ranking ASD reserves the right to determine the final winner at its sole discretion using any reasonable tiebreaking method.
Winners will be notified by email and/or phone within seven business days of the close of the Challenge Period using the contact information provided at registration. If a winner cannot be contacted or does not respond within five business days of notification ASD reserves the right to award the prize to the next eligible participant in the final point ranking order.
7. PRIZES
7.1 Prize Description Three prizes will be awarded as follows:
- First Place: $500.00 USD cash prize plus one six-month Unlimited Membership to Academy of Self Defense (approximate retail value $714.00). Total approximate value: $1,214.00.
- Second Place: $300.00 USD cash prize plus one four-month Unlimited Membership to Academy of Self Defense (approximate retail value $476.00). Total approximate value: $776.00.
- Third Place: $200.00 USD cash prize plus one three-month Unlimited Membership to Academy of Self Defense (approximate retail value $357.00). Total approximate value: $557.00.
Total approximate prize pool value: $2,547.00.
7.2 Cash Prize Redemption
Cash prizes will be distributed by check at the sole discretion of ASD within 30 days of winner verification and completion of required documentation. Winners must provide valid government-issued identification and a completed IRS Form W-9 prior to receiving any cash prize. Failure to provide required documentation within 14 days of request may result in forfeiture of the cash prize.
7.3 Membership Prize Redemption
Membership prizes must be redeemed at Academy of Self Defense, 3475 Woodward Avenue, Santa Clara, California 95054. Membership prizes are non-transferable, have no cash value, cannot be combined with any other offer or discount, and must be redeemed within 90 days of the winner notification date. Unredeemed membership prizes will be forfeited after 90 days with no substitute prize offered.
7.4 Prize Conditions
Prizes are non-transferable and no substitution or cash equivalent will be offered except at ASD’s sole discretion. ASD reserves the right to substitute a prize of equal or greater value if the stated prize becomes unavailable for any reason. Winners are solely responsible for all federal, state, and local taxes on prizes received. ASD will comply with all applicable tax reporting requirements. Prizes with a value of $600.00 or more in a calendar year will be reported to the IRS on Form 1099-MISC as required by law.
8. DISQUALIFICATION
ASD reserves the right to disqualify any participant at any time for any of the following reasons without limitation:
- Submitting false, fabricated, or misleading point submissions
- Submitting duplicate photos, videos, or screenshots across multiple action items or multiple weeks
- Violating any stated rule of any individual action item
- Attempting to manipulate, exploit, or game the point system in a manner inconsistent with the spirit of the Challenge
- Engaging in unsportsmanlike conduct toward other participants, ASD staff, or instructors
- Providing false information at registration
- Any other conduct that ASD determines in its sole discretion to be contrary to the integrity of the Challenge
Disqualified participants forfeit all points and are not eligible for any prize. Registration fees are non-refundable upon disqualification. ASD’s disqualification decisions are final and non-appealable.
9. FUTURE CHALLENGE ELIGIBILITY
Any participant who finishes in First Place, Second Place, or Third Place and receives a prize award is ineligible to compete for prizes in any ASD-sponsored fitness challenge for a period of one calendar year from the date of their prize notification. Prize recipients may still participate in future challenges during this period for personal fitness purposes but will not be eligible to receive cash prizes or membership prizes during the one-year exclusion period. This restriction applies to the individual winner only and does not affect household members or training partners.
10. PUBLICITY & INTELLECTUAL PROPERTY
By participating in this Challenge each participant grants ASD a non-exclusive, royalty-free, perpetual license to use, reproduce, publish, and display any photos, videos, or written content submitted through the TrainWithMe app or posted to social media with the ASD tag in connection with this Challenge for marketing, promotional, and social media purposes without further compensation or consent. Participants retain ownership of their original content. ASD will not sell participant content to third parties.
Participants agree not to submit any content that infringes on the intellectual property rights of any third party.
11. RELEASES & LIMITATIONS OF LIABILITY
By participating in this Challenge each participant agrees to release, discharge, and hold harmless ASD, PHN LLC, their officers, directors, employees, contractors, and agents from any and all claims, damages, losses, or liability arising from participation in the Challenge including but not limited to personal injury, property damage, or any claim related to prize receipt or use.
Participation in physical fitness activities involves inherent risks. Each participant is solely responsible for ensuring they are physically capable of performing the activities required by this Challenge and for participating safely. ASD strongly recommends that all participants consult with a qualified healthcare provider before beginning any new fitness program.
12. GOVERNING LAW & DISPUTES
These Official Rules and the Challenge are governed by the laws of the State of California without regard to conflict of law provisions. Any dispute arising from or relating to this Challenge shall be resolved exclusively in the state or federal courts located in Santa Clara County, California. Participants consent to the exclusive jurisdiction of those courts.
To the extent permitted by applicable law all disputes shall be resolved on an individual basis and participants waive any right to bring or participate in any class action, consolidated, or representative proceeding related to this Challenge.
13. GENERAL CONDITIONS
ASD reserves the right to cancel, suspend, modify, or terminate this Challenge at any time for any reason including but not limited to fraud, technical failure, or any other cause beyond ASD’s reasonable control that compromises the integrity of the Challenge. In such an event ASD will make a good faith effort to notify registered participants.
ASD’s failure to enforce any provision of these rules shall not constitute a waiver of that provision. If any provision of these rules is found to be unenforceable the remaining provisions shall remain in full force and effect.
These Official Rules constitute the entire agreement between the participant and ASD with respect to this Challenge and supersede all prior agreements, representations, and understandings.
